Administrative Assistant
About the job
Spears Design Build Group is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the day-to-day flow of our office and help keep our operations running smoothly.
This role serves as the first point of contact for incoming calls, office communications, and general inquiries while also providing critical administrative support across operations, accounting, sales, production, marketing, warranty, and team support functions. The ideal candidate is professional, dependable, tech-savvy, and comfortable managing multiple priorities in a fast-paced environment.
This is a part-time, in-office position, Monday through Friday from 9:00 a.m. to 3:00 p.m.
Key Responsibilities
Office Administration
- Answer and route incoming phone calls and respond to general inquiries
- Monitor office email inboxes and direct messages to the appropriate team members
- Schedule client appointments and maintain the office calendar
- Process incoming and outgoing mail, scanning and filing as needed
- Order and maintain office supplies and support a clean, professional office environment
- Coordinate with vendors as needed to support office equipment and technology
JobTread / Systems Administration
- Enter new customers, leads, and projects into JobTread
- Support customer onboarding by ensuring project and contact information is complete and accurate
- Create and maintain digital and/or physical job folders
- Enforce company naming conventions, tagging standards, and organizational procedures
- Monitor JobTread updates and communicate changes, support staff, and provide periodic training refreshers
Accounting Support
- Receive, record, and deposit checks
- Enter deposits into QuickBooks and maintain supporting documentation
- Assist with monthly reconciliation support as requested
Production / Sales Support
- Support setup of approved projects and ensure required documents are in place
- Type, edit, format, and track proposals and estimates as requested
- Assist with sales qualifying, intake, routing, and scheduling
- Provide administrative support to the sales and production teams as needed
Warranty / Closeout Support
- Prepare warranty packets at job completion
- Conduct warranty follow-up calls at established intervals
- Document and route warranty needs to the appropriate team members
- Maintain warranty records and track closeout items through completion
Marketing Support
- Track leads and assist with reporting
- Pull project photos from JobTread for use in social media and marketing materials
- Coordinate routine marketing touchpoints such as neighborhood mailers
- Assist with outsourced marketing coordination and occasional event support
HR / Team Support
- Assist with new employee onboarding, including account setup, cell phones, uniforms, and related logistics
- Support team recognition efforts, celebrations, and employee events
- Maintain apparel and supply inventories
- Assist with special projects and cross-functional team needs as assigned
Qualifications
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and priorities with professionalism
- Proficiency in Microsoft Office and comfort learning internal systems/software
- Administrative, office coordination, or operations support experience preferred

Lead Carpenter
Spears Design Build Group has an immediate opening for a full-time lead carpenter with remodeling skills to join our growing team.
- This is a tool belt wearing position with a focus on kitchen and bathroom remodeling.
- Enjoy working on a variety of projects with new challenges every day. From complete kitchen and bath remodels to porches, sunrooms, basements, and room additions, our clients count on our high level of expertise and professionalism.
- Minimum 5 years of jobsite management of residential remodeling projects.
- Possess excellent written and verbal communication skills.
- Complete understanding of the materials & installation aspects of interior and exterior remodeling.
- Must have current valid driver’s license.
- Able to pass full criminal background check and drug screen.
Full Time: Monday – Friday 7:30-4:00 schedule
- You will be paid by the hour and use all of our tools, equipment, and trucks. All you need is your personal hand tools.

- Perform on the job training for other team members.
Remodeling Carpenter
Spears Design Build Group has an immediate opening for a remodeling carpenter.
- Enjoy working on a variety of projects with new challenges every day.
- Possess excellent written and verbal communication skills.
- Understanding of the materials & installation aspects of interior and exterior remodeling.
- Must have current valid driver’s license.
- Able to pass full criminal background check and drug screen.

Are you skilled in multiple trades from carpentry to light plumbing and electrical to painting, demolition, drywall, flooring, windows, etc? Spears Design Build Group is looking to have you join the team.
Specific Responsibilities
- Complete small to medium repairs, remodeling, and home improvement projects
- Ensure the efficient use of materials and maintain adequate stock of necessary equipment
- Keep company vehicle and equipment properly serviced, clean, and in good working order and condition
Job Requirements
- Skilled tradesman with 5 years of experience in home maintenance/repair and remodeling.
- Strong handyman/carpentry background.
- Team player who can work independently.
- Must have current valid driver’s license.
- Able to pass full criminal background check and drug screen.
